Terms Of Service
1. Agreement to Terms
By creating an account or using the TradieMate mobile application (“the App”) or website (“the Service”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, do not use the Service.
The Service is operated by Tradiemate Ltd (“TradieMate”, “we”, “us”, “our”), a company registered in England and Wales with company number 17100934, whose registered office is at 22 Luton Road, Chalton, Luton, LU4 9UG, United Kingdom.
These Terms should be read together with our Privacy Policy, which explains how we collect, use, and protect your personal data.
2. Who Can Use TradieMate
The Service is designed for UK-based sole traders and small business owners in the trades industry. To use TradieMate, you must:
Be at least 18 years old.
Be a resident of the United Kingdom.
Provide accurate and complete registration information.
Have the legal authority to enter into these Terms.
3. Your Account
You are responsible for maintaining the security of your account and for all activities that occur under your account. You must:
Keep your login credentials secure and not share them with others.
Notify us immediately if you suspect unauthorised access to your account.
Ensure that all information you provide is accurate, current, and complete.
We reserve the right to suspend or terminate accounts that violate these Terms or are used fraudulently.
4. The Service
4.1 What TradieMate Provides
TradieMate is a business management platform that helps tradespeople manage their day-to-day operations. The Service includes:
Customer management (storing and organising customer contact information).
Job tracking (creating and managing jobs through a lifecycle).
AI-powered quote generation (using artificial intelligence to create cost estimates).
Invoicing (creating and sending invoices to your customers).
Payment collection (via Stripe Connect — see Section 6 for full details).
Direct Debit collection (via GoCardless — see Section 6 for full details).
Automated messaging (WhatsApp and email reminders, follow-ups, and notifications).
Accounting integration (synchronising with Xero for Making Tax Digital compliance).
Service reminders (scheduling future follow-ups with customers).
Business statistics and reporting.
4.2 What TradieMate Is Not
TradieMate is not:
An accounting or tax advisory service. You are responsible for your own tax obligations and should consult a qualified accountant.
A legal service. Quotes and invoices generated by the App do not constitute legal contracts unless you establish them as such with your customers.
A payment services provider, payment facilitator, or e-money institution. TradieMate does not process, hold, or transmit payments on your behalf. All payment processing is carried out by Stripe (via Stripe Connect Standard accounts) and GoCardless, which are independently regulated payment service providers. See Section 6 for full details.
A guarantee of business outcomes. While we aim to help you manage your business more efficiently, we do not guarantee specific results.
4.3 AI-Generated Quotes
TradieMate uses artificial intelligence (Claude by Anthropic) to generate cost estimates based on job descriptions you provide. These quotes are estimates only and should be reviewed by you before sending to customers. You are solely responsible for the accuracy of any quotes you send. TradieMate is not liable for any losses arising from inaccurate AI-generated quotes.
4.4 Automated Messaging
When you enable automated messaging features (invoice chasing, quote follow-ups, service reminders), messages are sent to your customers on your behalf via WhatsApp (through Twilio) or email (through SendGrid). You are responsible for:
Ensuring you have your customers’ consent to receive these communications where required.
Ensuring the content of communications sent on your behalf is accurate and not misleading.
Complying with applicable marketing and electronic communication regulations.
You can disable automated messaging at any time through the App settings.
5. Subscription and Payment
TradieMate is a subscription service. The following terms apply to TradieMate’s own subscription (the fee you pay to use the App). They are separate from the payment-collection features in Section 6 (which relate to your customers paying you).
5.1 Free Trial
New users receive a one-month free trial with full access to all features when subscribing through the Apple App Store. Your free trial begins when you subscribe and ends one month later. You will not be charged during the trial period. At the end of the trial, your subscription will renew automatically at the standard subscription price unless you cancel at least 24 hours before the trial ends.
You can manage and cancel your trial at any time in your iPhone Settings under your Apple ID → Subscriptions, or via appstore.com/account.
5.2 Subscription
After your free trial, TradieMate is available on a monthly auto-renewing subscription at the current published price. Subscriptions are billed by Apple through your Apple ID account, in accordance with Apple’s standard subscription terms. Apple will charge your selected payment method at the start of each billing period.
We will give at least 30 days’ notice through the App or by email of any price changes affecting future billing periods. The current price is shown on the App Store listing for TradieMate and at tradie-mate.co.uk.
5.3 Cancellation
Subscriptions purchased through the Apple App Store are managed entirely by Apple. To cancel, open your iPhone Settings, tap your name, then tap Subscriptions, then TradieMate, then Cancel Subscription. You may also manage your subscription at appstore.com/account.
Upon cancellation:
You will retain access to the Service until the end of your current billing period.
Your subscription will not renew, and no further charges will be made.
Your data will be retained in accordance with Section 8.3.
5.4 Refunds
Refunds for App Store subscription charges are processed by Apple, not by TradieMate. To request a refund, contact Apple Support at reportaproblem.apple.com. Apple’s refund policy applies to all purchases made through the App Store. We have no ability to issue refunds for App Store transactions.
If you believe you have been charged in error or have a complaint about your subscription, you can also contact us at legal@tradie-mate.co.uk and we will assist where possible.
6. Payments, Stripe Connect, and GoCardless
This section explains how payment processing works within TradieMate — specifically, how your customers pay you for work you perform. The payment-collection features described here are separate from the App subscription described in Section 5.
6.1 TradieMate Is Not a Payment Facilitator
TradieMate does not process, hold, or transmit payments. We are not a payment services provider, payment facilitator, or e-money institution. We do not handle your funds or your customers’ funds at any point.
TradieMate provides software that connects to your independently held Stripe and GoCardless accounts to initiate payment requests on your behalf. Payments flow directly between your customers and your payment service provider — not through TradieMate.
6.2 Stripe Connect Standard Accounts
TradieMate uses Stripe Connect with Standard accounts. When you enable payment collection features in TradieMate:
You will be redirected to Stripe to create your own Stripe account. You enter into a direct contractual relationship with Stripe under Stripe’s Connected Account Agreement and Stripe’s Terms of Service. This agreement is between you and Stripe — TradieMate is not a party to it.
Stripe will carry out identity verification and Know Your Customer (KYC) checks as part of their onboarding process. Stripe may collect your full legal name, date of birth, home address, government-issued photo identification (passport, driving licence), National Insurance number, and bank account details. This data is collected, processed, and stored by Stripe, not by TradieMate.
Payments from your customers are processed by Stripe and paid out directly to your bank account according to the payout schedule you configure in your Stripe Dashboard. TradieMate does not hold or control your funds at any point.
You can manage your Stripe account settings, payout schedule, bank details, and tax information directly through the Stripe Dashboard at dashboard.stripe.com.
You can disconnect your Stripe account from TradieMate at any time through your account settings.
6.3 What Data TradieMate Can and Cannot See
Through the Stripe Connect API, TradieMate can see:
Your Stripe account status (active, pending, restricted).
Transaction amounts, currency, payment status, and dates for payments initiated through TradieMate.
Payout status (scheduled, pending, completed) — but not your bank account details.
Payment method type (card, Apple Pay, Google Pay) — but not card numbers.
Your business name and email as registered with Stripe.
TradieMate cannot see and does not have access to:
Your bank account number or sort code.
Your customers’ full card numbers, CVVs, or bank details.
Your identity documents (passport, driving licence).
Your date of birth, National Insurance number, or home address as provided to Stripe.
Your Stripe Dashboard login credentials.
6.4 Customer Payment Experience
When your customers pay a TradieMate invoice:
They click a payment link which takes them to a Stripe-hosted payment page.
Their payment card details are entered directly on Stripe’s secure, PCI DSS Level 1 certified payment page. TradieMate does not collect, see, or store your customers’ card details at any point.
Stripe processes the payment and confirms the transaction to TradieMate (amount, status, payment method type only).
6.5 GoCardless and Direct Debit
TradieMate integrates with GoCardless to enable Direct Debit payments:
GoCardless collects bank account details directly from your customers to set up Direct Debit mandates. TradieMate does not see or store these details.
GoCardless is an independently regulated payment service provider and acts as an independent data controller for Direct Debit processing.
Your use of GoCardless is subject to GoCardless’s own terms of service and privacy policy.
You can disconnect GoCardless from TradieMate at any time through your account settings.
6.6 Your Responsibilities
By using the payment features, you agree that:
You are responsible for complying with Stripe’s and GoCardless’s terms of service.
You are responsible for ensuring that goods or services have been provided before collecting payment.
You are responsible for handling refunds and disputes with your customers.
TradieMate is not liable for any payment failures, delays, chargebacks, or disputes between you and your customers or between you and Stripe or GoCardless.
TradieMate is not liable for any actions taken by Stripe or GoCardless in relation to your account, including account restrictions, holds on funds, or account termination.
7. Your Data and Content
7.1 Your Ownership
You retain full ownership of all data, content, and materials you upload, create, or store through the Service. This includes customer information, job details, invoices, photos, and any other content you provide.
7.2 Our Licence to Operate
By using the Service, you grant TradieMate a limited, non-exclusive licence to use, store, process, and transmit your data solely for the purpose of providing and improving the Service. This includes sharing your data with our third-party service providers as described in our Privacy Policy. This licence terminates when you delete your account.
7.3 Data Portability
You can export your data at any time by contacting us at legal@tradie-mate.co.uk. We will provide your data in a standard machine-readable format within 30 days of your request, in accordance with your rights under UK GDPR.
8. Data Processing and UK GDPR
This section sets out how we process personal data in connection with the Service, our lawful bases for processing, data retention periods, and your rights as a data subject under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This section should be read alongside our Privacy Policy, which provides full details.
8.1 Data Controller and Data Processor Roles
TradieMate acts in two capacities:
Data Controller: for your personal data (your account information, usage data, billing data). We determine the purposes and means of processing this data to provide and improve the Service.
Data Processor: for your customers’ personal data that you input into TradieMate (customer names, phone numbers, email addresses, addresses). You are the data controller for this data, and we process it on your behalf in accordance with your instructions and these Terms.
Stripe, GoCardless, and Apple act as independent data controllers for personal data they collect directly during their onboarding, KYC, payment processing, or App Store subscription activities. TradieMate is not the data controller for data collected by these providers.
8.2 Lawful Bases for Processing
We process personal data under the following lawful bases:
Contract (Article 6(1)(b) UK GDPR):
Processing your account data, job data, invoice data, and customer data to provide the TradieMate Service you have signed up for.
Facilitating payment collection by connecting to your Stripe Connect and GoCardless accounts.
Sending invoices, quotes, and payment reminders to your customers on your behalf.
Synchronising data with Xero where you have enabled this integration.
Legitimate Interest (Article 6(1)(f) UK GDPR):
Improving the Service based on usage patterns and feedback.
Sending you service-related communications (e.g. weekly business digests, feature updates).
Preventing fraud, maintaining platform security, and detecting misuse.
Conducting internal analytics and reporting.
Managing user lifecycle and onboarding through our CRM (HubSpot).
Where we rely on legitimate interest, we have conducted a balancing test to ensure that our interests do not override your rights and freedoms.
Consent (Article 6(1)(a) UK GDPR):
Sending push notifications about your business activity (you can withdraw consent at any time via your device settings).
Sending marketing communications about TradieMate features, offers, or updates (you can unsubscribe at any time).
You can withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.
Legal Obligation (Article 6(1)(c) UK GDPR):
Retaining financial and transaction records as required by HMRC and UK tax law.
Complying with requests from law enforcement or regulatory authorities.
Meeting our obligations under anti-money laundering regulations (where applicable through our integration with Stripe and GoCardless).
8.3 Data Retention Periods
We retain your personal data only for as long as necessary for the purposes for which it was collected, or as required by law. The specific retention periods are:
Account data (name, email, phone, business name, trade type): retained while your account is active. Deleted within 30 days of account deletion.
Customer, job, and invoice data: retained while your account is active. You can delete individual records at any time through the App. Deleted within 30 days of account deletion, unless subject to legal retention requirements.
Payment and transaction records (amounts, dates, payment status): retained for 7 years from the date of the transaction, as required by UK tax law (HMRC). This applies even after you delete your account.
Photos: stored while the associated job exists. Deleted when you delete the photo or the job.
WhatsApp and email message logs: retained for 2 years from the date of sending for audit and dispute resolution purposes.
Usage and analytics data: retained in anonymised or aggregated form indefinitely. Identifiable usage data is deleted within 30 days of account deletion.
CRM records (HubSpot): retained while your account is active. Deleted within 30 days of account deletion.
Stripe Connect transaction data: transaction data (amounts, dates, status) initiated through TradieMate is retained for 7 years for tax compliance. Data held by Stripe directly (KYC, bank details, identity documents) is retained by Stripe in accordance with Stripe’s own retention policies.
GoCardless mandate and payment data: retained for 7 years for tax compliance. Data held by GoCardless directly is retained in accordance with GoCardless’s own policies.
Apple App Store subscription data: transaction status and entitlement data retained while your account is active and for 7 years thereafter for tax compliance. Data held by Apple directly (your Apple ID, payment method) is retained by Apple in accordance with Apple’s own policies.
8.4 Your Rights as a Data Subject
Under UK GDPR, you have the following rights in relation to your personal data:
Right of access (Article 15): you can request a copy of the personal data we hold about you. We will respond within 30 days and provide the data in a commonly used electronic format.
Right to rectification (Article 16): you can correct inaccurate personal data at any time through the App (e.g. editing your profile, customer records, or job details). You can also contact us to request corrections.
Right to erasure (Article 17): you can request deletion of your personal data (“right to be forgotten”). We will comply unless we have a legal obligation to retain the data (e.g. financial records required by HMRC for 7 years). Where we cannot delete specific records, we will explain why.
Right to restriction of processing (Article 18): you can request that we limit how we process your data in certain circumstances (e.g. while we verify the accuracy of disputed data).
Right to data portability (Article 20): you can request your personal data in a structured, commonly used, machine-readable format (e.g. CSV or JSON). We will provide this within 30 days.
Right to object (Article 21): you can object to processing based on legitimate interest. If you object, we will stop processing unless we can demonstrate compelling legitimate grounds that override your rights. You can object to direct marketing at any time, and we will stop immediately.
Right to withdraw consent (Article 7): where we process data based on your consent (e.g. push notifications, marketing emails), you can withdraw consent at any time. Withdrawal does not affect the lawfulness of processing before withdrawal.
Right to lodge a complaint: if you are not satisfied with how we handle your data, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113.
To exercise any of these rights, email legal@tradie-mate.co.uk. We will respond within 30 days. We may ask you to verify your identity before processing your request.
For data held directly by Stripe (identity documents, bank details, KYC information), you will need to exercise your rights directly with Stripe through stripe.com/privacy or Stripe support. TradieMate does not have access to this data and cannot action requests relating to it.
8.5 Your Responsibilities as a Data Controller
When you input your customers’ personal data into TradieMate (names, phone numbers, email addresses, addresses), you are the data controller for that data. As data controller, you are responsible for:
Having a lawful basis under UK GDPR to collect and use your customers’ personal data (this will typically be legitimate interest or contract performance in the context of providing trade services).
Informing your customers that you use TradieMate to manage invoicing and communications, and that their data will be processed by TradieMate and our service providers (Twilio for WhatsApp, SendGrid for email, Stripe for payments, GoCardless for Direct Debit).
Responding to data subject access requests, rectification requests, and deletion requests from your customers. You can delete individual customer records through the App at any time.
Ensuring that you have appropriate consent or lawful basis before enabling automated WhatsApp or email communications to your customers.
TradieMate will assist you in responding to data subject requests from your customers where reasonably possible. If we receive a request directly from one of your customers, we will direct them to you as the data controller.
8.6 Data Breach Notification
In the event of a personal data breach that is likely to result in a risk to the rights and freedoms of individuals, we will:
Notify the Information Commissioner’s Office (ICO) within 72 hours of becoming aware of the breach, where required by UK GDPR.
Notify affected users without undue delay where the breach is likely to result in a high risk to their rights and freedoms.
Notify you if a breach affects your customers’ data that we process on your behalf, so that you can fulfil your own notification obligations as data controller.
8.7 International Data Transfers
Your data is primarily stored in the UK/EU (Supabase West Europe, London). Some of our service providers (Stripe, Twilio, SendGrid, Anthropic, HubSpot, Apple) may process data in the United States. Where personal data is transferred outside the UK, we ensure appropriate safeguards are in place, including:
The UK Extension to the EU-US Data Privacy Framework, where the receiving organisation is certified.
UK International Data Transfer Agreements (IDTAs) and Standard Contractual Clauses (SCCs) approved by the UK government.
Adequacy decisions where the UK government has determined that a country provides an adequate level of data protection.
Details of specific transfer mechanisms used by each service provider are available in their respective privacy policies and data processing agreements.
9. Acceptable Use
You agree not to:
Use the Service for any unlawful purpose or in violation of any applicable laws.
Send spam, unsolicited messages, or misleading communications through the Service.
Upload malicious code, viruses, or any harmful content.
Attempt to access other users’ accounts or data.
Reverse engineer, decompile, or attempt to extract the source code of the App.
Use the Service to harass, abuse, or harm others.
Resell or redistribute the Service without our written permission.
Use automated tools to scrape or extract data from the Service.
Use the Service to process personal data in a manner that violates UK GDPR or any other applicable data protection law.
10. Third-Party Services
TradieMate integrates with the following third-party services. Your use of these services is subject to their respective terms of service and privacy policies:
Apple — App Store distribution, subscription billing, and push notifications. Terms: apple.com/legal/internet-services/itunes. Privacy: apple.com/privacy.
Stripe — payment processing via Stripe Connect Standard accounts. Terms: stripe.com/legal. Privacy: stripe.com/privacy.
GoCardless — Direct Debit processing. Terms: gocardless.com/legal. Privacy: gocardless.com/legal/privacy.
Twilio — WhatsApp messaging. Privacy: twilio.com/legal/privacy.
SendGrid — email delivery. Privacy: sendgrid.com/policies/privacy.
Xero — accounting integration. Terms: xero.com/legal. Privacy: xero.com/legal/privacy.
HubSpot — CRM and customer lifecycle management. Privacy: legal.hubspot.com/privacy-policy.
Anthropic — AI quote generation. Privacy: anthropic.com/privacy.
When you connect your Stripe, GoCardless, or Xero account, you authorise TradieMate to exchange data with these services as necessary to provide the features you have enabled. You can disconnect any integration at any time through your account settings.
We are not responsible for the availability, performance, or policies of third-party services.
11. Service Availability
We aim to provide a reliable service but do not guarantee 100% uptime. We may occasionally need to perform maintenance or updates that temporarily affect availability. Where possible, we will provide advance notice of planned downtime.
We are not liable for any losses arising from service interruptions, whether planned or unplanned.
12. Limitation of Liability
To the maximum extent permitted by law:
TradieMate is provided “as is” without warranties of any kind, whether express or implied.
We do not warrant that the Service will be error-free, uninterrupted, or secure.
We are not liable for any indirect, incidental, special, consequential, or punitive damages.
Our total liability to you for any claims arising from your use of the Service is limited to the amount you have paid us in the 12 months preceding the claim.
We are not liable for any losses arising from AI-generated content, including quote estimates.
We are not liable for the failure of WhatsApp or email messages to be delivered, or for any consequences of undelivered messages.
We are not liable for any actions taken by Stripe, GoCardless, Apple, or any other third-party service provider, including payment failures, account restrictions, fund holds, or account termination.
We are not liable for any losses arising from your failure to comply with Stripe’s, GoCardless’s, or Apple’s terms of service.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.
13. Intellectual Property
The TradieMate name, logo, and brand are trademarks of Tradiemate Ltd. The App, its design, code, and documentation are our intellectual property and are protected by copyright and other intellectual property laws.
You may not use our trademarks, brand assets, or any part of our intellectual property without our written permission.
14. Termination
We may suspend or terminate your access to the Service if:
You violate these Terms.
You use the Service fraudulently or illegally.
Your subscription payment fails through Apple and is not resolved within 14 days.
We are required to do so by law.
You may terminate your account at any time by cancelling your Apple subscription (see Section 5.3) and contacting us at legal@tradie-mate.co.uk to request account deletion.
On termination, your data will be handled in accordance with the retention periods set out in Section 8.3. Data that is not subject to a legal retention requirement will be deleted within 30 days.
15. Changes to These Terms
We may update these Terms from time to time. We will notify you of significant changes by email or through the App at least 30 days before they take effect. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
16. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of the Service will be subject to the exclusive jurisdiction of the courts of England and Wales.
17. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.
18. Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and TradieMate regarding your use of the Service.
